When the Nursing Organizations Alliance's (NOA) executive directors came to Providence for their annual meeting in fall 2023, we saw it as the perfect opportunity to showcase what makes our city special. Rather than opting for a traditional hotel or convention center space, we chose Farm Fresh RI as our venue.

The Perfect Fall Setting

Fall in Rhode Island provided the ideal backdrop for our farmers' market-themed reception. The season's natural harvest atmosphere aligned perfectly with Farm Fresh RI's mission of connecting local farmers with the community, creating an authentic experience that felt both purposeful and welcoming. We collaborated with a local decor company to enhance the space with fall harvest elements, including market carts, hay bales, wooden barrels and warm string lights. A local folk band provided live entertainment throughout the evening, adding to the genuine farmers' market ambiance that transported guests from a typical networking event to an immersive local experience.

Creating a Local Experience

Instead of traditional reception stations, we designed the event around exploration and discovery. Attendees were invited to browse carts featuring an array of local Rhode Island products, including artisanal popcorn, jams, handcrafted soaps, candles, seeds and more. Guests were encouraged to take home items that caught their interest.

The Buy Local RI campaign became a unifying theme throughout the event, with Red, the program's chicken mascot, appearing on shopping bags and signage. Our GoProvidence team embraced the theme, wearing Buy Local RI shirts to further emphasize our commitment to supporting local businesses.

For the dinner portion of the evening, we curated local foods that aligned with Farm Fresh RI's farm-to-table mission, ensuring that every element of the evening celebrated Rhode Island's culinary landscape. Wright's Creamery's on-site location remained open throughout the event, with each guest receiving a "blue ribbon" ticket for a complimentary scoop of ice cream, a sweet ending to the evening.

Attention to Detail

Our attention to detail extended beyond the event itself.  Transportation was seamlessly handled with arranged bus service to and from the venue, though Farm Fresh RI's location is less than a mile from the Rhode Island Convention Center and its parking capacity for more than 60 vehicles offered flexible options for future events. Upon returning to their hotels, guests discovered seasonally themed spices from Ocean State Pepper Co. (think Vampire Repellent, a garlic-based blend of spices) waiting in their rooms as a memorable takeaway that extended the local experience and provided a lasting reminder of their time in Providence.

Why Farm Fresh RI?

Farm Fresh RI stands out as one of the city's largest event venues, offering versatility that many planners don't initially consider. The space can accommodate anywhere from 75 to 400 guests across various indoor and outdoor areas, with a market space that can host up to 75 vendor spots for larger gatherings or trade show components. The venue's prep kitchen provides convenience for catering teams, while access to in-house vendors and established relationships with local caterers streamline the planning process. While decor requires external coordination, the GoProvidence Convention Services team readily connects planners with trusted vendors who understand the space and can bring creative visions to life.

The Bigger Picture

This event exemplified how venues can serve a dual purpose – providing an exceptional experience for attendees while simultaneously supporting and showcasing local businesses. For meeting and event planners seeking venues that offer something beyond the conventional, Farm Fresh RI demonstrates how the right space can transform a standard reception into a memorable experience that allowed us to showcase the authentic character of Providence and support the local economy. 

The results spoke for themselves. Attendees described the event as the "best NOA reception ever," high praise from a group of experienced professionals who attend and plan numerous events throughout the year. Sometimes the most impactful events happen when we step outside traditional expectations and embrace spaces that tell a story about the community we're celebrating.
